Procurement Technician
About the program
The CISA Contracting Office is responsible for procurement and administration of all non-classified contracts and agreements) for the Cybersecurity and Infrastructure Security Agency (CISA). As a member of the team, you will work directly with and support pre and post award procurement functions and assist with workforce training initiatives and data reporting. This opportunity will be for a minimum of 60 days, maximum of 180 days, and will expose the selectee to a broad spectrum of activities associated with the support functions of the team. This position provides the selectee with the opportunity to be exposed to a wide range of administrative and programmatic opportunities.
What you'll do
- Review procurement packages for completeness and accuracy. Identifies missing, inconsistent, or conflicting information and coordinates with contracting personnel, program offices, budget staff, vendors, and other stakeholders to resolve discrepancies.
- Perform contract and purchase order closeout support by verifying that supplies or services were received, invoices were processed, funds were reconciled, required documentation is present, and administrative closeout requirements are satisfied. Prepares closeout documentation for review and approval by appropriate contracting officials.
- Enter, update, verify, and maintain procurement and contract information and statuses in procurement systems. Ensure data entries are accurate, timely, and consistent with source documents.
- Assist in developing, improving, and documenting manual or automated procurement procedures, templates, tracking tools, desk guides, and workflow processes to improve the accuracy, efficiency, and reliability of procurement support operations.
- Provide technical and administrative support for procurement-related meetings and training sessions. Prepare agendas, read-ahead materials, training materials, procurement status reports, action item trackers, contract file documentation, slide decks, and other meeting materials. Schedule sessions, sends meeting invitations, coordinates attendance, compiles and organizes presentation materials, shares slide decks or other approved media, and operates meeting media during sessions, including advancing slides and managing displayed materials. Record key discussion points, decisions, action items, suspense dates, and responsible parties. Updates procurement records and tracking systems based on meeting outcomes and follows up with contracting personnel, program offices, finance staff, vendors, and other stakeholders to obtain required information or resolve outstanding procurement support issues.
- Tracks the status of requisitions, contracts, purchase orders, delivery orders, task orders, modifications, invoices, shipments, deliverables, and closeout actions using automated systems, spreadsheets, reports, and manual files and provides status updates to appropriate stakeholders.
- Provides technical assistance to program office personnel and other customers on routine procurement support requirements, documentation standards, routing procedures, and system processes.
